Punctuation Marks: Power Tools for Clear Writing!

Is punctuation becoming less important? Certainly there is less of it in modern writing. But less important? Emphatically NO!

Just look at three examples to see how punctuation marks can add style and power to your writing.

BULLETS

Bulleted lists are extremely effective in capturing the interest of your audience.

Persons who browse the internet want to find information quickly. They want to be able to read it easily without having to wade through pages of text.

Bullets direct the eye to the main points quickly.

They encourage writers to be brief, stating the main point in a few words or a phrase.

They summarize a list of points or conclusions.

Bottom line: If you want to write effective copy, USE BULLETS!

COLON :

Enrich your writing style with discreet use of the colon. It is generally used to introduce something that follows. Here are some places where a colon is well used

To introduce a list

Example: Send the letter to the following departments: Sales, Marketing and Admin.

To introduce a quotation

To introduce a question

To introduce a conclusion

Example: The conclusion of the matter was: Let bygones be bygones.

QUESTION ?

The most obvious use of the question mark is at the end of a sentence which asks a direct question.

Example: Where are you going this weekend?

However, when an indirect question is raised a question mark is not needed.

Example: She asked me if I enjoyed her cooking.

The question mark can also be used to create other effects:

To declare

Example: Did you really think you could get away with this?

Here the question mark tinges the expression with anger and frustration.

To exclaim

Example: Isn′t that a beautiful sunset?

The question adds force to the statement making it an exclamation.

To invite an answer

Example: This seems the wrong color, don′t you think?

Impromptu Speaking

Impromptu Speaking…Why do those words send a chill down the back of so many people? Impromptu speaking is something that we do every day of our lives unless we are a hermit living in a shack at the top of a mountain.

“Hello, how are you?” Your answer………impromptu speaking! You haven’t had a chance to practice for this occasion, to choose just the right words to say to this particular person, you just say, “Fine, how are you?”

Now, this may lead to further impromptu conversation or it may not, it depends on how well you know the person, how much time you have to spend, etc.

If you are in the retail business and someone comes up to ask you a question about a product, you answer and there you go, you are doing impromptu speaking!.

Many people have said they’d rather be dead than give a speech in public, but how many of these people can talk to 4 or 5 people about something they are really interested in and not feel even a tiny twinge of fear. That is an example of public speaking.

It’s not really all that hard. People just think it is hard. But like anything, it takes practice to do it really well. You may think that you would never be able to speak like some of the motivational speakers you have seen, and you may be right, their style may not suit you. However, that doesn’t mean that you can’t learn to speak in the style that does.

Some people are humourous speakers and have no problem fitting humour into every speech they do, others are technical speakers and learn to present facts and figures in a way that makes people want to listen. Others are story tellers, wrapping their audience up in the tales they tell and still others have a dramatic flair using their gestures to give their audience an idea of what they are talking about.

Just as it is important in internet marketing to find your particular niche or market, so it is in public speaking.

People join Toastmasters and other speaking clubs for a variety of reasons. Some just want to be comfortable standing up in front of a group of people without stuttering and stammering. Others need to be able to deliver speeches and presentations in their daily job. Still others have dreams of becoming a standup comic or a motivational speaker. Each of us has a dream and each of our dreams is different, but we can come together and share these dreams in a safe and nurturing place – a Toastmasters’ Club.

Toastmasters International has developed a very thorough program which will lead you to develop skills in a number of areas such as: vocal variety–using your voice as a tool to engage your audience, speaking softly or loudly, with expression gestures–using your body in a way that enhances what you are saying words–using words that match the level of your audience, not speaking over their heads, or beneath their abilities; organization—how to craft your speech with an opening, a body and a conclusion, how to choose 3 main points to cover so that the audience will retain your message. All these and more are available to you in a Toastmasters Club.

In addition to the lessons you can learn about speaking, there are also opportunities for you to learn leadership skills as you participate in the weekly meetings as a Toastmaster, Table Topics Master, Ah Counter, Quiz Master, Grammarian, etc. These skills are beneficial to anyone in the working world as you learn to listen to others, to really hear what is being said, and you learn to take charge of the group for a short period of time.

You will find many things at a Toastmasters Club, much more than just help with your speaking; you will find friendship and caring and people who want to help you be the best that you can be.

Yet so many of these websites are copy sites and have pretty horrific traffic count numbers. Let’s face it if you are going to post one hundred of your best articles online and put forth that time commitment then you know you expect someone to read them right?

Well, this is why I personally advise that you shop around and find a premier online article submission website that has been around for a while. Pick one, which has over 5,000 writers already signed up, 10,000 would be better. Even 15,000 writers if you can find one that is that well respected in the market place.

Do not pick an online article submission site, which has many of the categories with only one or two articles or even no articles for that matter in them. If the site is new it will most likely fail. The attrition rate is over 75% in 2-years. Meaning your chances of wasting your efforts are too high and those are not good odds, even in Las Vegas.

You can insert HTML links to your MS Word documents in a split second.

1) Select the target word.

2) Press CTRL and K keys to launch the Insert Hyperlink dialog box.

3) You can link the word selected to an existing file or web page, a bookmark within the same document, an e-mail address, or to a new document. Click the appropriate button in the LINK TO navigation bar.

To link the word selected to a web page or online document, click the Existing FIle or Web Page button in the navigation bar. Then, enter the URL of the page (either somewhere on your server or out there on the Internet) in the ADDRESS field. For example, you can link any word you like to www.cnn.com so that when you click that word you’ll be able to read the latest news.

Note: for external web sites do not forget to start the URL with ” “

To link the word selected to a bookmark, click the Place in This Document button and then select a bookmark from the list of bookmarks displayed on the right.

To link the word selected to a new document, click the Create New Document button and follow the directions.

To link the word selected to an e-mail address, click the E-mail Address button and fill in the associated fields.

4) Click OK and you’re done. Now when you click on your word, things will happen, depending on the way you set up your link.

5) To remove the link, select the word and press CTRL and K keys to display the Insert Hyperlink dialog box. Click the Remove Link button and it’s gone.

How To Write Articles That People Want To Read

Article writing is one of the best ways to achieve phenomenal success online. Distributing your work to other sites will allow you to promote a link to your website and receive direct visitors. These backlinks will also help to improve your site’s search engine rankings, which will increase the number of indirect visitors you receive. And all of that means more traffic, more subscribers and more sales.

But to make the most of your efforts, it’s vital to write articles that people want to read. So before you start, let’s take a look at all the elements of a successful article.

The Subject

Before you start writing it’s important to select your subject carefully. Let’s face it, there’s no point spending your time writing an article if nobody wants to read it. So do some basic research. Which websites are popular? What are other people writing articles about?

Once you’ve got a basic idea about the subjects that people want to read about, I suggest selecting a main subject and then creating a list of 10 or 12 sub categories on which you can write articles. For example, if your topic is money, you might want to sub divide your article writing efforts into different sub categories such as; business, credit, debt, insurance, investment, property, saving etc.

The Keywords

Every article you write should be aimed at a certain keyword. It will help to focus your attention on what the article should be about, and it will allow your articles to perform better in the search engine rankings.

So before you start, select a list of keywords and keyword phrases for each of your sub categories. If have 10 sub categories and you select 10 keyword phrases for each, that will give you a foundation to write 100 different articles about your main subject.

The Title

The title should tell you readers exactly what they can expect to discover by reading your article. And if possible it should tempt them to continue reading. So it’s often a good idea to use the title of your article to pose an interesting question.

The Article Summary

For each article, write a couple of sentences that introduces your article and tells readers what they will find out if they continue reading. This importance of this step is often underestimated, as it’s a vital part of attracting readers and drawing them into the body of your article.

Alternatively, you could wait until after you’ve written your article and use the first paragraph as the article summary.

The Main Body

Once you’ve done all that, it’s just a case of deciding upon the subject of your article and writing 400-700 words about it. But bear the following points in mind;

Do your homework. Search the internet for all the latest news on your chosen subject. Keep up to date using forums etc.

Each article should have a beginning, a middle and an end. Aim to write 2-3 sentences per paragraph and perhaps 4-6 paragraphs. Any longer and there’s a danger that your readers will stop reading before they reach your bio at the end.

Keep it relevant to the subject and the keyword phrase that you′re using the article to target. Write what you imagine people would want to read when they type in that keyword.

Use short, punchy sentences.

Use short paragraphs, perhaps three or four screen lines at most, so that people find it easy to read.

Break your article into easy to follow chunks using headings and sub-headings. This will allow people to scan your article quickly if they don’t have time to read it.

One idea per sentence.

One subject per article.

If possible, give useful advice to help people solve a problem.

And it goes without saying that your articles should be spelt correctly and use acceptable standards of grammar.

The Bio

This is where you get to promote your website. This is your payment for allowing other websites to publish your article(s). Your bio should contain brief information about who you are, your work and the site that you′re promoting.

But don’t just write one bio and use it for every article that you promote. Write a selection of 10-12 short bios like the one at the end of this article. Make sure each bio is worded differently, uses different linking text and sounds tempting enough to make people click through to see your site.

There are two reasons for using a range of different bios

a) People who read a few of your articles on different websites may eventually become “blind” to your bio. After reading a number of your articles they won’t see the bio because it’s always the same. So provide something different to capture their attention every time.

b) Search engines don′t rank incoming links as highly if they always contain the same anchor text and are always surrounded by the same words.

It might seem like a lot of work to generate 12 different bios, but I can assure you that in the long run the extra effort will be well worth it.

Follow these basic rules and before long your website will start to grow in popularity and you will become recognised as an expert on your chosen subject.

Publicity is crucial to book sales. Unfortunately, many publishers are cutting back on marketing. Your book may be the best thing since sliced bread, but I guarantee that sliced bread will get more publicity. What can you do if you don’t have the money to hire a marking firm? Here are some ideas to get your book and name noticed.

GO THE COLLEGE/UNIVERSITY ROUTE. Colleges and universities are always looking for speakers. It there is a college or university in your town contact the Library Director and offer to speak. Follow-up by delivering an information packet about your book to the library.

CONTACT THE PUBLIC LIBRARY. Public libraries offer free presentations and seminars to the public. Call the Program Director and offer to speak about your book. Be precise. “I will speak for a half hour, answer questions, and provide handouts.” The library schedule may already be full and, if this is the case, ask the library to put your name on next year’s list.

TAP SERVICE CLUBS. Every community has service groups and you should find a list of them in the phone book. Select a few groups, contact them, and offer to speak at early morning, noon time, and evening meetings. Before you call, make sure your presentation has a snappy title and broad appeal.

THINK SEASONAL. Most communities have seasonal events, starting with Thanksgiving and continuing through Christmas. Ask around and you may be able to get early information about these events. There may be a Calendar of Events in your phone book. Contact the event chairperson and ask if you can speak at the event and autograph books.

CONTACT LOCAL CHURCHES. You will find a list of churches in the phone book. Large churches tend to have their own educators/speakers, but smaller churches may welcome a free speaker. Offer to speak at book clubs, luncheon meetings, and study groups.

SEND OUT A MEDIA RELEASE. Write a concise release and send it to the Book Editor and Lifestyle Editor of your local newspaper. Enclose a copy of your book and any favorable reviews your book has received.

WRITE SMALL NEWSPAPERS. Small town newspapers are always looking for stories. Look on the internet for a list of newspapers in your state. This list contains the names of the newspapers, the towns they serve, and the circulation. Choose selected newspapers, such as those with a circulation of 5,000-20,000, and send them a letter. Enclose a media release with your letter.

PARTICIPATE IN BLOGS. Surf the internet and you will find a variety of blogs. Choose a few blogs and email a few short paragraphs about your book to them. Blog postings will get your name and book circulating on the internet.

Keep track of your marketing and publicity efforts, especially the dates. Six months from now recontact these organizations and groups. One well-received talk can spark sales and lead to word-of-mouth publicity - the best publicity for any author. Good luck!

Five Easy Ways To Write And Sell More

Globalization affects writers too. In 2005, you’ll find yourself competing with writers from all over the world for space in newspapers, magazines, on the bookshelves – and online, of course. You can, and must, fight back.

You need to get creative. You need to write more, and sell more.

Here are five EASY ways to do that:

=> 1. Multiply the ways you use your material

When you get an assignment and begin your research, think “multiple use″ from the outset.

For example, let’s say you have an assignment from a fitness magazine to write about the glycemic index. Sit down and make a list of possible other uses for your research. If you′re writing for a magazine targeted to women, you could rework the material for men’s markets, parenting magazines, even animal magazines. You could write small filler pieces of less than 100 words for “front of book” sections in other magazines.

Don’t stop there. Do a Web search for other markets. Think of: magazines and newspapers in countries other than your own, Web sites, and large companies which may be interested in using your information to inform their consumers.

There are always a million ways you can get more mileage out of your material. Start thinking creatively now.

=> 2. Get multiple assignments from a single source

When an editor has given you an assignment, send that editor more proposals. It’s always easier to sell something to a current customer than it is to a new customer. Send your current customers (editors) one proposal a month. The more often they see your name crossing their desk, the more they’re inclined to give you an assignment they’ve developed in-house.

=> 3. Sit down and write—research later

Write first, research later. This sounds counter-intuitive, but it helps you to write more and sell more. It’s easy to get caught in the quagmire of research. You can collect so much material that you lose all enthusiasm for the project—the more you collect, the more overwhelmed you feel.

For example, let’s say you’re writing a novel. Your hero is a cop. You don’t need to know that much about his day-to-day working life to write the first draft. You don’t need to know specifics of weapons used, or any of a hundred other things. Focus on the characters and the story. Do some research as you go, but aim to do the bulk of your research after you’ve written the first draft.

Here’s how: when you get to a spot in the ms where you need specific info, put: “XX Research”. You can add a comment about the kind of research: primary, or secondary, and where you′ll get the material. Or just put the old printers’ mark: “TK” meaning “to come”.

If you’re writing a magazine article about a topic you know nothing about, create an outline before you begin to research. Your outline can be as simple as: Who, What, When, Where, Why and How. Then write your article as you do the research. Hint: with this technique, you’ll write more than you need, so be ruthless when you edit.

=> 4. Write about what you’re living

What’s happening in your life right now? Whatever it is, use it. You must use it right now, because chances are that you won’t be able to use it later. Time moves on, you become a different person.

Here’s how this works. Let’s say you’re a new parent—bingo! You have a mass of markets you can write for. You also have a lot of first-person, real-life information which is coming into your life without you having to do anything much at all.

Maybe you’ve started back at school as a mature age student, or you’re taking a course in something new to you. Before you stroll into the door for the first seminar, start lining up markets you could approach with stories about your new field.

You must make use of this “found” information now, when you’re in the midst of living it. If you don’t, you’re missing a great opportunity. You will also find that as this period of your life passes, you won’t be able to write about it. A couple of years ago I was asked to contribute to a parenting manual. OK, I thought, not a problem, I’ve had children. Sadly, it turned out to be a major problem. My children are adults. I found it horribly difficult to put myself into the mindset of the parents of young children.

Write about what you′re living NOW.

=> 5. Write about what you love

What intrigues you? What do you do in your spare time? Do you garden, knit, breed Great Danes? Whatever you do as a hobby can be a money-maker for you. There’s nothing so esoteric that there’s not a market out there.

The benefit of writing about your passions is that you can write easily about it. You have the basic knowledge. You know what concerns other people have. Write about them.

Remember that you don’t need to be an expert. Once you′re an expert, it’s hard to write for beginners. Write about what you love, and watch your sales multiply.
